AI Training for Employee Onboarding
AI Training for Employee Onboarding is an AI consulting use case in which Großartiger supports companies with AI strategy, AI training and AI operations, from concept to rollout.
AI-powered onboarding training is an interactive assistant that teaches new hires company knowledge, processes and tools at their own pace and answers questions on demand, instead of pointing them to the next HR office hour. Großartiger builds training assistants for HR and L&D teams that speed up onboarding and surface knowledge gaps before they become a problem.

AI onboarding training, what it actually means
Classic onboarding often means a long list of documents, a string of meetings with different teams, and hoping it all sticks. An AI-powered training assistant turns that into an interactive process: new hires do not just read a handbook, they can ask follow-up questions anytime, get explanations at their own pace, and are tested with short comprehension questions at the end of each topic. If gaps show up, the system suggests a repeat or a conversation with the relevant team.
For HR and people development, this creates visible feedback for the first time: which topics new hires grasp quickly, where recurring misunderstandings happen. Großartiger builds the assistant on top of your existing onboarding materials such as handbooks, Loom videos and Notion pages, so no complete content rewrite is needed.
Typical use cases
We most often build training assistants for general company onboarding such as values, processes and tools, role-specific training such as product training for new sales hires, compliance and safety training with a documentation requirement, and ongoing training around product changes, so a new live session is not needed every time.
What AI training does not replace
Personal contact with the team, manager and colleagues stays the most important part of good onboarding, the training handles knowledge transfer, not relationship-building. For safety-critical training with a legal documentation requirement, we clarify upfront which formats count as legally sufficient and where an in-person session or signature is still required.
How an onboarding AI project runs at Großartiger
We start by reviewing your existing onboarding materials and jointly identify the two or three topics with the biggest leverage, usually the areas with the most follow-up questions in the first month. For those topics we build the interactive assistant including comprehension questions, usually ready for testing within two to three weeks.
The assistant is tested with the next cohort of new hires, we analyse comprehension questions and feedback, and adjust content and tone. After four to six weeks the assistant runs in regular operation, usually embedded in Slack, Microsoft Teams or your existing LMS.
Cost and engagement model
An onboarding training assistant typically runs between EUR 3,000 and 12,000 per project, depending on the number of topics and integration depth. A focused assistant for two or three topics sits at the lower end, a comprehensive system covering multiple roles and compliance documentation at the upper end.
The twice-yearly content refresh, for process changes or new tools, is usually covered by a small monthly maintenance contract. Many clients take over content maintenance themselves after a short walkthrough.
Emergency? Dial the emergency number
If unconscious, with severe chest pain, breathlessness or heavy bleeding, dial 112 immediately. Our service complements the emergency services. It does not replace them.
Need a doctor today?
A private physician comes to your home or hotel within 60–90 minutes, daily 6 am to midnight, anywhere in Berlin.
Case profiles
Typical scenarios
Fast-growing company with monthly new hires
A company hires eight to ten new people a month, and HR keeps repeating the same in-person introduction. The assistant covers the basics, HR focuses on individual questions and team building.
Retail chain with decentralised onboarding
A retailer with 30 stores previously had wildly inconsistent onboarding quality depending on the store manager. The central assistant ensures consistent basics regardless of location, store managers only add local details.
Company with complex compliance training
A financial services firm must run documented compliance training for all staff every year. The assistant automatically logs every completed session including the comprehension test for audit purposes.
Sales organisation with frequent product updates
A software company updates its product monthly, and new features need to reach the sales team. Instead of organising a live session every time, the assistant updates the relevant content, and sales reps learn at their own pace.
Frequently asked questions
Does this replace in-person onboarding conversations?
No, the assistant handles knowledge transfer, personal conversations with the manager and team stay a core part of good onboarding. The training frees up time for those, since basic questions are already covered.
Can we reuse our existing materials?
Yes, we build the assistant on top of your existing handbooks, videos and Notion pages. A complete content rewrite is rarely necessary.
How do we know onboarding is actually working?
The assistant provides analytics on comprehension questions and common follow-ups, giving HR visibility for the first time into which topics land well and where content needs improvement.
Is this suitable for legally mandated training?
For many compliance topics, yes, we clarify with your legal or compliance team before the project starts which formats count as sufficient documentation and where an in-person session or signature is still required.
